How to edit email notifications
This guide will show you how to edit the email notifications on your platform.
Your platform can send automatic or manually invoked email notifications for certain activities. These can range from sending automatic reminders that a ranking process is about to expire to emailing panellists their annual invoices. You edit the title, subject, and email body contained within these templates so that they are configured to the way you do business.
You must be provisioned with an account administrator role to view and change these settings on your platform.
Your platform has a series of email templates. To view them, go to "Organisation" under "Admin" on the left-hand menu, then "Emails" on the top menu.
Here is a list of email templates can be edited.
These steps will show you how to edit the "Generic Invoice" template, but they can also be applied to editing the other email templates.
1) Navigate to "Organisation" -> "Emails" and then select "Generic Invoice".
2) You will notice the Email ID at the top. This is the unique identifier of all emails generated by your platform. You can see that the ID of the generic invoice email is "ID: Imm-e-175".
If you want to edit an email notification but want to confirm if you are editing the correct one, check the email ID sent on the notification in your email inbox. It will appear below the footer of the email notification. You can use this number to check that the email notification template you edit corresponds to the same email.
2) Unselect this tick box if you want this email disabled. By default, some emails may be disabled when your account is created.
3) Edit these fields to modify the title and subject on your email notification.
4) Edit these fields to modify the email content within your email notification.
5) Use these handlebars in your email subject, title, or body. This is similar to a mail merge feature where the variables are populated dynamically when the email is sent. For example, Dear {{ RECIPIENT_NAME }} would insert the participant's name to whom the invoice is addressed when generated.
6) Once you have made your changes, scroll back up to the top and click on 'Save.' You can check your changes by invoking the event that triggers the email notification to test them. You can also repeat steps 1-5 if you need to make additional changes.
